Job Description:

Work with current undergraduate students as detailed below:

  • Provide academic and career advising to undergraduate students. Prepare printed and web-based materials to facilitate student self-advisement.
  • Coordinate students with appropriate faculty advisors.
  • Register students for departmentally controlled courses and manage waitlists.
  • Advise non-majors of requirements and course selections for minor.
  • Notify students regarding deadlines, including but not limited to drop/add, advanced registration, graduation, etc.
  • Prompt students to apply for graduation and review academic audit to ensure all degree requirements are met
  • Manage the undergraduate listserv and Canvas Hub; send notifications to the list/Hub.
  • Edit degree audits (e.g., course substitutions) for FYCS majors and minors.
  • Organize the FYCS Representatives program. Recruit and interview new Representatives each year.
  • Assist students with crisis management (mental health issues, withdrawal, dismissal, instructor conflicts). Refer students to appropriate administrative offices for more specialized assistance.
  • Work closely with the Undergraduate Coordinator.

 

Work with prospective and new undergraduate students as detailed below:

  • Assist with orientation and registration questions and advise on selection of courses.
  • Advise each students regarding timely completion of critical tracing courses.
  • Meet with prospective students, and respond to electronic inquiries, regarding the degree program and to answer questions.
  • Represent FYCS in Preview sessions for prospective students.
  • Review and resolve transfer of credit for all newly admitted students. Conduct initial academic audit.
  • Participate in recruitment events throughout the year including College events, Majors and Minors Fair, Exploratory Advising Welcome Event, and FYCS recruiting events at UF and in other locations around the state of Florida.
  • Create brochures and handouts for recruitment events.
  • Research promotion products and giveaways to hand out during recruitment events.

Administrative work as detailed below:

  • Train and supervise OPS employees, graduate assistants, and student assistants, including federal work-study.
  • Train new faculty in academic regulations and policies, and in online systems functions.
  • Coordinate departmental TA (undergraduate and graduate) allocations and assignments, including course registration.
  • Assist in updating the information for the FYCS website.
  • Serve on selection committees for faculty and staff positions.
  • Represent FYCS in leadership and involvement roles in the College of Agricultural and Life Sciences Undergraduate Advising Council.
  • Schedule Undergraduate Curriculum Committee meetings; serve on committee.
  • Review and establish annual teaching projections with Undergraduate Coordinator and Department Chair.
  • Assist faculty with processing online grade change forms for departmental courses.
  • Review and update information on degree programs in the undergraduate catalog each year.
  • Manage departmental course scheduling, room scheduling, textbook adoptions, and course evaluations
  • Serve as backup to coordinate Academic Activities Reporting (AAR)
  • Collect course syllabi to post on website.
  • Schedule staff or student liaisons to represent FYCS at recruitment events throughout the year. 
Expected Salary:

$52,000.00

Minimum Requirements:

Master’s degree in education, counseling, or academic field related to the college and one year of relevant experience OR Bachelor’s degree in similar fields with two years of relevant experience. 

Preferred Qualifications:

Knowledge of and ability to use Student Information System, myUFL, One.UF, PeopleSoft, Microsoft Office, Canvas, and other related computer software.

Experience in advising and counseling students at the undergraduate level.

Working knowledge of University of Florida regulations and procedures to facilitate recruitment and student counseling.

Strong project management skills and a demonstrated ability to set and keep priorities among competing demands.

Proven skills in effective written and oral communication and ability to keep detailed records of student advising.

Record of accomplishment of high levels of student service, attention to detail, excellent judgement, multicultural competency and sensitivity. Understand the importance of communication in a team-based environment.
