Job Description:

Philanthropy Strategy

  • Cultivate relationships with key prospects and volunteers to build engagement with college/unit resulting in philanthropy.
  • Request and analyze data to better customize appeals to increase alumni participation and donor retention.
  • Help coordinate campus visits and engagement opportunities for donors as part of cultivation strategy.
  • Maintain contact with key prospects and volunteers through personal contacts and face-to-face visits.
  • Conduct requested and proactive detailed biographical research for identified prospects using UF Advancement’s donor database, in house files and other sources to determine factors that assist in the further identification of donor prospects.
  • Assist Senior Director with donor stewardship efforts to encourage a culture of philanthropy.
  • Contribute to annual reports, donor events and thank you letter production.
  • Participate in ongoing stewardship efforts by writing thank you letters for key donors and other stakeholders. 
  • Enhance giving society, the Dean’s Circle, by welcoming new members and identifying prospects.
  • Work closely with scholarship committee on increasing scholarship recipient engagement with donors.
  • Prepare briefing reports.
  • Assist in evaluating the program using established top attributes and metrics in order to produce accurate reports, to guide effective decision making and to achieve UF Advancement’s Vision and Values.
  • Stay informed of industry standards, trends, breakthroughs and best practices. 

Annual Giving

  • Partner with Annual Giving to develop a comprehensive direct marketing plan that meets the College of Dentistry’s annual giving goals for growing alumni participation and building pipeline.
  • Collaborate on new, mission-critical Alumni Participation Rate (APR) initiatives.
  • Assist the Senior Director in the development and execution of an annual plan to increase the number of life members and to secure additional life members gifts. 
  • Support the Senior Director to execute reunion giving strategy including managing volunteers, solicitations and direct marketing.
  • Implement proactive strategies to identify new prospects for higher-level giving.
  • Plan annual donor recognition event for leadership annual giving and major gift donors.
     

Communications

  • With input from the Senior DO partners with UF Dentistry departments, organize communications for all annual fund appeals – mail, email and phone – to increase unrestricted giving for the college.
  • Work collaboratively with Director of Communications to maintain standards for communication pieces.
  • Prepare and proof correspondence, emails, acknowledgement letters, agendas, and other documents, some of which may be confidential; make necessary edits for accuracy of content.
  • Handle transmission of correspondence by mail, fax, e-mail, or other methods as directed; initiate correspondence as necessary to insure the efficient and timely flow of information within the office. 
  • Retrieve and sort mail to be inserted in proper folders, including mail of a confidential nature.
  • Prepare proposals and reports; maintain and update foundation, corporation and individual donor files.
  • Forward communications with appropriate background material and analysis.  Must use judgment in sorting into action vs. general communications.
  • Create and send correspondence/communications to affiliated stakeholders, volunteers, and donors as needed.
  • Prepare presentation materials for the Senior Director.

Alumni Engagement

  • Assist with the organization of various development events to increase alumni engagement.
  • Develop, plan and implement annual events (Examples but not limited to: Dental Fall Weekend; Gator Dentist reception at Florida Dental Conference; hosting college alumni speaking programs; developing outside of Gainesville strategic event programming with college leadership) to engage alumni with the college.
  • Establish new programs to engage key donor prospects with faculty and students.
  • Track registration, research attendees and report on all alumni events.
  • Support the writing and coordination of promotional marketing materials for all alumni events.
  • Partner with leadership of colleagues, support units, faculty, and other staff groups.
  • Work closely with UF Alumni Association to coordinate alumni affairs efforts across the university.
  • Special project and/or campaign related events, tours.

Administrative Duties

  • Coordinate travel arrangements, arrange for appropriate research and background material to be gathered, prepare travel memo for briefing prior to travel, and prepare detailed itineraries for trips. Make hotel reservations and arrange for ground and commercial air transportation when needed for extended travel. 
  • Assist Development Office leadership in using talent management best practices in alignment with UF Advancement’s Vision and Values of Excellence, Discovery & Innovation, Inclusion, Freedom & Civility, Community and Stewardship; ensure best practices in office systems, practices, files and record keeping; ensure effective use of strategic tools and resources such as contact reports, prospect management, research, and analysis, and the donor database.
  • Provide direct support to development leadership as needed.
Expected Salary:

$50,000 to $60,000 commensurate with education and experience

Minimum Requirements:

Bachelor's degree or an equivalent combination of education and experience.

Preferred Qualifications:

The ideal candidate will possess:

  • The ability to work strategically, develop and implement constituency programs and activities, along with a talent for motivating volunteers.
  • The ability to communicate clearly and effectively with diverse constituencies, meet deadlines, be self-motivated, and work independently.
  • Accuracy, attention to detail and a customer service-oriented attitude.
  • Ability to work collaboratively and a team player.
  • Competency in problem solving. 
  • Ability to write communication pieces and direct marketing appeals.
  • The ability to manage multiple projects with competing deadlines and effectively self-determine work priorities in order to deliver the best outcomes.
  • Related experience working with volunteers and/or in similar organization.
  • Enthusiasm for fundraising in a comprehensive research university and the desire to work collegially within a goal-oriented fundraising organization (strongly desired). 
  • Experience with billing, tracking expenses, and interacting with vendors.
  • Experience organizing, planning, and executing events.
  • Working knowledge of a donor database, contact management, and tracking system.
  • Must be an outstanding communicator and possess excellent written and verbal communication skills; interpersonal skills; and the ability to work collegially and interact effectively with a diverse constituency.
  • Proven success working with stakeholders; excellent strategic planning and project management skills; experience in a data-driven environment; organizational skills; and the ability to lead, influence and motivate others are required.
  • Working knowledge in these areas: Windows, Microsoft Word, Microsoft Excel, Microsoft Access, internet browsers, preferably Internet Explorer, E-mail.  Working knowledge of a donor database, contact management and tracking system.
  • Ability and willingness to travel [Business expenses are reimbursed through a standard accounting system.  The ability to pay for expenses using your own personal credit card or funds and have them reimbursed is essential.]
