What you’ll do

As an Executive Administrator, you will serve as the primary administrative resource for designated business partners including Governance and ITI Products divisions, and supporting the Administrative & Events team. You are a master at juggling many activities simultaneously and responsible for a wide array of duties, including managing calendars of multiple employees, meeting planning (set-up, prep, and follow-up), coordinating special projects and other day-to-day administrative activities. You are crucial to effective and efficient day-to-day operations. 

In this role, you will: 

  • Coordinate set-up and logistics for recurring and ad hoc meetings; schedule meeting details, reserves meeting rooms, arrange catering, prepare materials, assist with break-down, etc.
  • Ensure productive and efficient presentations/meetings by preparing meeting agendas, taking detailed meeting minutes, summarizing and sending meeting recaps and action items for executives and other teams.
  • Oversee administrative services for company leaders and serves as support for designated business partners while executing critical, confidential and sensitive administrative tasks.
  • Assist with internal and external events (scheduling, planning, day-of event support, etc.).
  • Act as a point of contact for the executive team and/or designated business partners, handling any administrative tasks for special projects or events.

QUALIFICATIONS 

You must have

4 years of relevant experience; an Associate degree plus 2 years of relevant experience; or a Bachelor’s degree in a related field

We’d like you to have

  • Experience providing administrative support both internally and externally.
  • Previous experience with meeting management and taking meeting minutes. 
  • Previous experience working with executives.
  • Experience reviewing legal documents; paralegal or related experience.
  • Associates degree in relevant field, paralegal certification, or a willingness to learn paralegal work. 

Technical skills we’d like you to have

  • Computer skills including but not limited to word processing, spreadsheets, presentation applications, web-based calendaring applications.Microsoft Office: Excel, PowerPoint, Word.
  • Google Suite tools: Sheets, Slides, Docs, Calendar.
  • Collaboration tools: Confluence, Slack.

Additional Information

This is a provisional or temporary position for 3 months with the intention of extension or transition to a Regular position based on performance and business needs. This is a non-sponsorship eligible position.
