Event and Outreach Coordinator
GENERAL DESCRIPTION
Responsible for event coordination, planning, and leading community outreach efforts and building relationships that increase mission awareness, strengthen partnerships, and support fundraising goals. Plans and coordinates fundraising and outreach events that promote the mission of the Humane Society of North Central Florida (HSNCF). Works under the supervision of the Development Director to ensure all events and outreach activities align with organizational goals and advance HSNCF’s commitment to saving homeless pets.
RESPONSIBILITIES AND DUTIES
Event Coordination

Organize fundraising, adoption, and community events under the direction of the Development Director and in support of the Adoption Manager and, if applicable Volunteer Director.

Plan and execute all event logistics in collaboration with other departments as needed.

Adhere to event budget guidelines and prepare event budget requests.

Contact and solicit event sponsors, auction item donors, and in-kind supporters.

Support the Development Coordinator by providing content, graphics, and reels to promote events.

Coordinate with the Volunteer Department for event staffing and support.

Track, evaluate, and report on the success of events.
Community Outreach

Build and maintain strong relationships with community partners, businesses, schools, and civic groups to promote HSNCF’s mission.

Develop educational curriculum and presentations for different school grade levels to encourage humane education.

Create and oversee programs that invite groups to engage with HSNCF, such as birthday parties, scout projects, and summer camps, ensuring they are cost-neutral through grants, fees, or sponsorships.

Represent HSNCF at community events, meetings, and public engagements.
General Duties

Assist with preparation of outreach materials, presentations, and reports.

Support Development Director with donor cultivation and stewardship activities as needed.

Maintain an outreach calendar and ensure timely communication across departments.

Perform other duties as assigned.
QUALIFICATIONS AND EXPERIENCE
-
Bachelor's Degree; equivalent work experience considered.

Event planning, outreach, or community engagement experience required.

Comfortable with public speaking and community presentations.

Knowledge of animal welfare advocacy is desired.

Positive attitude, outgoing personality, and passion for animal welfare and the mission of HSNCF.

Strong interpersonal skills; ability to build and maintain relationships with diverse groups.

Excellent oral, written, and organizational skills with attention to detail.

Effective communicator in both casual and high-stakes situations.

Organized, detail-oriented multi-tasker, comfortable working independently in a fast-paced environment.

Proficient in Microsoft Office, Gmail/Google Docs, and event planning tools.

Experience with Canva and social media platforms for marketing and outreach.

Ability to work flexible hours, including evenings, weekends, and holidays as needed.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

Must be in good health. Any allergic condition that would be aggravated from exposure or through contact with animals or chemicals used to sanitize facilities, vehicles, or equipment is a disqualification.

May be exposed to hostile or abusive members of the public. Must be able to deal with an often emotion-charged public and carry a fast-paced and changing workload, which at times can be stressful.

By nature of the job, there is occasional exposure to dead, injured, sick, unruly, vicious, and/or dangerous animals in addition to exposure to parasites and infectious diseases.

Must be available and willing to work such weekends, holidays, overtime, and attend mandatory training and meetings as the employer determines are necessary or desirable to meet its business needs.
